CoachPilot privacy policy

What CoachPilot is

CoachPilot provides tools for youth sports leagues, coaches and families: field scheduling, coach communication, game lineups and league notices. Accounts belong to adults (coaches, league volunteers, parents and guardians). Children never hold accounts.

What we collect

• From adults: name, email, phone number (only if you turn on text alerts), your role and team.
• About players, entered by a coach or guardian: name, team, jersey number, positions, and lineup information. Birthdate is collected only to confirm that a guardian is linked to the right child and is visible only to that child's guardians and head coach.
• Usage information needed to run the service (sign-in events, requests you submit, pages that error).

Children

We do not knowingly collect personal information directly from children under 13. Information about a player is entered and controlled by that player's parent or guardian and the team's coach. We do not post photos or video of children. A guardian may ask us to correct or delete their child's information at any time by emailing Daniel.Grande@ymail.com.

Text messages

If you opt in to text alerts, we send short notices about your league's fields, games and schedule changes from a CoachPilot toll-free number. Message frequency varies, typically 1 to 4 per month. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help. We do not sell, rent or share mobile numbers or SMS opt-in consent with third parties or affiliates for marketing purposes.

How we share

Information is visible only to the people in your league who need it: your team's coaches see their roster and guardians' contact details; league administrators see rosters and schedules, never private coach notes; guardians see their own child's information. We use service providers to deliver email (Resend), text messages (Twilio) and hosting (Supabase, Vercel); they process data only on our behalf. We do not sell personal information.

Your choices

• Turn text alerts off by replying STOP.
• Ask for a copy of your data, a correction, or deletion at Daniel.Grande@ymail.com.

Security and retention

Data is stored in the United States with access controls that enforce the sharing rules above at the database level. We keep league data for the seasons it is needed and delete or anonymize it when a league or family leaves.
